Which UTM fields should you standardize?

Standardize utm_source, utm_medium, and utm_campaign for every manually tagged campaign. Add utm_id for a stable campaign identifier, utm_content for the creative or link, and utm_term only when keyword detail is useful. Preserve ad-platform click IDs separately. Carry the approved values through the selected form into the first-party Lead, and never put a person's name, email, or phone number in a UTM value.

Google's current custom campaign documentation defines these UTM parameters and says source, medium, and campaign should always be present on manually tagged URLs. Google also recommends setting the relevant campaign ID and source-platform fields when manual tags are used. What UTM naming convention prevents split reports?

Use a controlled dictionary, lowercase values, and one separator convention. Google documents that UTM values are case-sensitive, so Meta and meta become different values. A naming rule should eliminate that fragmentation before anyone builds a link.

Source is the platform

Keep one value for each platform or publisher. Do not switch between brand names, abbreviations, and domains for the same source.

Medium is the channel

Approve a short list such as cpc, email, paid_social, and referral. Document every addition.

Campaign ID stays immutable

Keep the campaign ID stable even if the human-readable campaign name changes. This makes cross-system reconciliation less dependent on spelling.

Content identifies the variant

Use a creative, placement, or link key. Do not put audience details or personal information in the value.

This synthetic URL follows a lowercase, underscore-separated house style. The exact separator matters less than using the same one everywhere:

How should UTMs work with Google Ads auto-tagging?

Keep Google Ads auto-tagging enabled when the linked reporting workflow depends on it, and preserve the GCLID that arrives on the landing URL. Do not replace a platform click ID with a home-grown utm_click_id. GCLID is not a UTM parameter.

Google's manual and auto-tagging documentation says auto-tagged values are used for source, medium, and other traffic classification dimensions when manual and auto-tagging are combined. If GCLID or DCLID cannot be used as intended and any UTM parameter is present, GA4 derives the cross-channel traffic source values from UTMs only. That is why a partial UTM set can create (not set) values. Either apply the full approved manual set or do not add a stray campaign parameter.

Campaign tags and click IDs have different jobs

UTMs provide a human-governed taxonomy. Click IDs are platform-generated keys. Keep both when they are present, label their origin, and do not imply that either one proves the Lead was qualified or successfully delivered.

How do you preserve attribution through a form?

  1. Capture the landing values. Read the approved UTM parameters and click IDs from the landing URL before a redirect or later navigation can remove them.
  2. Retain them under your privacy and consent rules. Campaign values are attribution data, not permission to collect unrestricted visitor data.
  3. Decorate only selected forms. Add approved hidden fields to the forms that should create sales Leads, not support, medical, payment, or other sensitive forms.
  4. Carry exact submission keys too. Preserve the unique submission, pixel session, and available click identifiers so browser evidence can be matched without a time-based guess.
  5. Verify the provider payload. Confirm that a form platform, email conversion, webhook, or ADF handoff does not strip the hidden fields.
  6. Store attribution with the Lead. Keep source, medium, campaign, content, landing page, referrer, and supported click IDs in the first-party record.

What must never go into a UTM value?

Do not put names, email addresses, phone numbers, customer IDs that identify a person, or free-form form answers in campaign parameters. Google's PII implementation guidance specifically warns against personal information in URLs and in campaign dimensions, including source, medium, term, campaign, and content.

Keep personal contact data in the operational Lead system. A UTM taxonomy should describe the campaign, channel, source, and creative, never the person who clicked. Synthetic test values should follow the same rule.

Why can GA4 and a first-party Lead show different attribution?

They record different objects. GA4 organizes traffic-source dimensions at user, session, and event scopes. Google's traffic-source scope documentation explains how first-user and session dimensions answer different acquisition questions. A first-party Lead record instead retains the source evidence attached to one accepted inquiry.

Lucidity Leads and Deliveries are first-party facts. GA4 is traffic context and may have different scope or Data Freshness. Do not rewrite a stored Lead whenever an aggregate GA4 report assigns credit differently. Compare the two systems only after naming the GA4 scope, attribution model, reporting window, and freshness.

What usually breaks UTM attribution?

  1. Build a synthetic URL from the approved campaign dictionary.
  2. Open it in a clean browser session and confirm the final URL retains every field.
  3. Verify the selected form receives the approved hidden fields and exact keys.
  4. Submit synthetic, non-personal test data through the real provider path.
  5. Inspect the accepted Lead for source, medium, campaign, content, and click IDs.
  6. Confirm explicit intake values were not overwritten by fallback evidence.
  7. Verify the GA4 traffic-source report after its applicable processing window, naming the scope used.
  8. Confirm the qualified Lead reaches its Destination and produces a Delivery record.

What belongs in an agency UTM governance template?

  • Owner: the role allowed to add or retire dictionary values.
  • Market and scope: the businesses, clients, channels, and languages covered.
  • Required fields: source, medium, campaign, campaign ID, and source platform where relevant.
  • Optional fields: content and term, with explicit use cases.
  • Value dictionary: approved spelling, capitalization, separator, and examples.
  • Click-ID policy: which platform IDs are preserved and where they are stored.
  • Privacy rule: prohibited personal or sensitive data.
  • QA evidence: final URL, form payload, stored Lead, GA4 scope, and Delivery check.
  • Change log: date, owner, old value, new value, and migration decision.

Publish the dictionary where campaign builders can use it before launch. A spreadsheet discovered after links are live is not governance. Make the approved values easy to select, reject unknown variants, and review the dictionary on a fixed cadence.
